Catering Rates & Policies

Rates are updated at the fiscal year and subject to change at that time.

  • All food and beverages served in the UW-Extension Conference Centers (UW-ECC) must be purchased from UW-ECC Catering Services.
  • Groups may not hire other catering agencies or carry in food or beverages. Groups will be charged at the equivalent UW-ECC catering rates for items they have carried in.
  • In addition, a $100 charge will be added to the invoice post-event for items carried into the centers by attendees or coordinators.
  • Food safety guidelines dictate that no food may be released to guests to take outside of the building after an event. Leftover food is donated to the Community Action Coalition.
  • If catering service for attendees is not ordered from UW-ECC, please instruct attendees to enjoy a meal at a local restaurant, the Memorial Union, or food cart.
  • In order to meet food-ordering deadlines, all menu choices, including type of service, must be completed two weeks prior to the event.
  • Final counts and catering orders must be guaranteed before noon, four business days prior to the event.
  • To place a catering order, a minimum of $5 per person is required.
  • Minimum orders are associated with specific items and setups. For instance, a minimum of 25 people is required for buffets; 15 is required for plated entrées. For smaller group options, please consult your meeting planner.
  • No catering charges apply if cancellations are made at least ten business days or two full weeks prior to the first day of the event.
  • If catering items or events are cancelled between five and nine business days prior to the date, groups will be charged 50% of their order. This includes subset events such as receptions hosted as part of a larger event.
  • No refunds will be made if cancellations are made fewer than five business days prior to the event.
  • If cancellations are made due to inclement weather, some charges may apply. Please contact the UW-ECC Event Planning and Sales Office for details.
  • Our Catering Services Menu contains descriptions and prices for all of our food and catering services.
  • If you are a state of Wisconsin group, please ask your event planner about the menu choices we offer that meet state of Wisconsin travel reimbursement rates.
  • Due to fluctuating market conditions, prices are subject to change without notice until commitment date. Price commitments will be provided 60 days before the scheduled function.
  • A late charge may be assessed for deviations from scheduled times. Please alert your speakers and schedule events carefully.
  • Unless otherwise specified, the normal setup for receptions includes table linens, plastic plates and utensils, and other basic supplies for food service. If china and flatware is desired, there is an additional charge of $2 per person.
  • The full-day CMP applies to meetings scheduled to end at or after 1:00 pm.
  • The morning AM/Lunch CMP applies to meetings scheduled to end before 1:00 pm.
  • The afternoon PM/Lunch CMP applies to meetings that begin at 11:00 am and end by 4:00 pm.
  • Groups will be charged for all participants, regardless if they are in attendance during lunch.
  • Alcoholic beverage service is available only in conjunction with food service and must be provided and served by catering staff. No outside alcoholic beverages are allowed to be brought into the building.
  • Designated UW-ECC staff is required to be present at all times while alcohol is being provided.
  • Alcohol service should never be the main focus of a program, but rather an enhancement. Advertising of the event should not emphasize alcohol service.
  • For all student programs where some attendees will be underage as defined by law, wristbands are required. The sponsoring organization will be charged for the wristbands and the staff to monitor that this policy is enforced. Bartenders will band and serve only attendees who are of legal drinking age.
  • Sponsoring organizations are responsible for the actions of their guests and must comply with UW-Extension alcohol policies. Violations may result in the revocation of the organization’s facility use privileges.
  • UW-ECC will limit Charge Bars (open bar to program attendees) to two hours. Exceptions to this policy must be approved by the manager of the respective conference center.
